ExportCRM vs Zoho CRM: Which is best for Exporters?

Zoho CRM is a great generic sales tool, but it doesn't understand shipping bills, packing lists, or DGFT exchange rates. See why exporters choose ExportCRM.

When evaluating software, many exporters start with Zoho CRM because it is a popular, well-priced name, and for pipeline management it is genuinely good. The question is not whether Zoho is a good CRM but whether a sales CRM is the right system to run an export business on — because an export order does not end at 'deal won'. It continues through production, a document set that must agree to the last digit, a foreign-currency invoice valued at DGFT rates, and an incentive claim that arrives months later.

ExportCRM was built from the ground up for export houses, so those stages are native rather than bolted on. This page compares the two honestly, feature by feature, and says plainly when Zoho CRM is enough. For the general argument see export CRM vs generic CRM; for the wider buying decision, the export management software guide.

The problem

The problem with generic CRMs

No export documents

Zoho CRM cannot natively generate a compliant export packing list or commercial invoice.

Missing government schemes

Generic CRMs have no concept of RoDTEP, Duty Drawback, or EPCG obligations.

Sales stops at the deal

Once a deal is 'won' in Zoho, you have to use a different system for production and shipping.

Customization nightmares

Bending a generic CRM to fit export workflows takes months of expensive consulting.

The true cost of a generic CRM for an exporter

A generic CRM tracks deals, but an exporter's business is built on shipments. If your CRM does not understand HS codes, DGFT exchange rates or RoDTEP entitlements, you are forced to run your actual operations in spreadsheets — one for the production status of each order, one for the documents, one for the incentive claims — and to re-key every won deal into whatever produces the invoice. The licence fee is the smallest part of the cost; the staff hours stitching the tools together, and the errors introduced at each re-typing, are the rest.

ExportCRM eliminates those spreadsheets by making the CRM and the operations system the same database: the enquiry becomes the order, the order feeds the documents and the invoice, and the invoice carries the incentive receivable. The comparison table above is deliberately even-handed — Zoho wins on marketing automation, web forms and telephony, which matter if your growth engine is inbound digital marketing. It loses on everything that happens after the buyer says yes.

When Zoho CRM is enough

Zoho CRM is a good choice if your export business is sales-led and fulfilment is simple: a merchant exporter buying finished goods and shipping through a forwarder, with a CHA doing the documents and an accountant doing the invoices, may be well served by Zoho for pipeline and follow-up plus Tally for accounts. It is also the right answer if you run several unrelated businesses and want one CRM across them, or if you depend heavily on email campaigns and web-form lead capture.

The signal that you have outgrown it is re-typing. When someone is copying a won deal into an Excel order sheet, copying the order sheet into a Word invoice, and copying the invoice into a claims tracker, the CRM is no longer the system of record for your business — the spreadsheets are. At that point the cost of an export-native system is smaller than the cost of the gaps.

Moving from Zoho CRM to ExportCRM

Migration is a data export and an import, not a rebuild. Export your accounts, contacts and deals from Zoho to CSV; map accounts to buyers (adding country, currency and default Incoterm), contacts to buyer contacts, and open deals to leads; then use ExportCRM's bulk Excel import, which previews and validates the file before anything is written. Products come across the same way into the inventory master. Closed-won deals that are still in production are re-created as orders so the pipeline starts from reality.

Most export houses run the two side by side for a few weeks — new enquiries in ExportCRM, old deals closed out in Zoho — and switch fully once the first orders have flowed from enquiry to shipment. If you want to see it against your own Zoho export, book a free demo and bring the CSV.

Frequently asked questions

Can Zoho CRM handle export documentation?

Not natively. Zoho CRM is designed for sales pipelines; it does not generate commercial invoices, packing lists or export declarations from the deal. ExportCRM generates those from the order record, and the shipping bill is filed by your CHA from the same data.

Is ExportCRM better than Zoho CRM?

For running an export business end to end — buyers, production, documents, multi-currency invoicing and incentive claims — yes, because those are native in ExportCRM and absent in Zoho CRM. For marketing automation, web forms and telephony, Zoho is stronger. The comparison table on this page shows where each wins.

Can I use Zoho CRM and ExportCRM together?

You can, typically for a transition period, but running two systems of record for buyers creates the same re-typing problem you are trying to remove. Most exporters move leads into ExportCRM and retire Zoho once open deals are closed.

How do I migrate my data from Zoho CRM?

Export accounts, contacts, deals and products from Zoho as CSV, map them to ExportCRM's buyer, contact, lead and inventory fields, and load them with the bulk Excel import (with preview and validation). Open orders are re-created so production tracking starts from the real status.

Does ExportCRM have Zoho's marketing features?

No. ExportCRM has follow-up reminders, notes and notifications for the sales process, but it is not a marketing automation platform. If email campaigns are central to your lead generation, keep a marketing tool for that and use ExportCRM as the operations system.
